Projects Overview

ActionAtlas organizes project information into intuitive tabs, giving you comprehensive control over every aspect of your projects. This overview explains what information is captured within each tab and how project managers can effectively utilize these tools.

Project Structure in ActionAtlas

Every project in ActionAtlas follows a consistent organization structure with five core tabs. Each tab focuses on specific aspects of project management, from basic details to financial tracking.

1. Overview Tab

The Overview tab serves as the central hub for essential project information, providing at-a-glance access to key details that define your project.

  • Client Information

    Client name, account details, and contact information

  • Project Details

    Project name, number, description, and objectives

  • Project Team

    Assigned project managers and team members

  • Location

    Primary work location for project activities

  • Milestones

    Key project dates and deliverable deadlines

  • Project Settings

    Configuration options for project behavior

Tip: The Overview tab is an excellent starting point when you need to quickly understand a project's scope, team composition, and timeline without diving into specific details.

2. Project Coordination Tab

The Project Coordination tab is where the actual work management happens, organizing deliverables through work orders and tasks.

Work Orders

Work orders represent formal agreements between project managers and contributors (freelancers or team members) on the project. They define:

  • Contracted deliverables and expectations
  • Budget allocations and rate information
  • Time tracking requirements
  • Expense submission guidelines

For freelancers, work orders serve as formal contracts outlining payment terms, deliverables, and timelines.

For team members, work orders function more as assignments since they are full-time employees of the company.

Tasks

Tasks are specific to-do items nested within work orders that break down the work into manageable pieces. They provide:

  • Detailed descriptions of required actions
  • Status tracking and progress visibility
  • Due dates and priority indicators
  • Assignment to specific team members

This structure enables project managers to flexibly assign and track specific pieces of work while maintaining a common tracking system across all projects.

Note: The relationship between work orders and tasks is hierarchical. Work orders define the overall scope of work, while tasks break that scope into specific actionable items.

From this tab, users can easily:

  • Create and edit work orders
  • Add and modify tasks
  • Track progress on both work orders and tasks
  • View work order completion status
  • Manage dependencies between tasks

3. Talent Tab

The Talent tab is dedicated to managing the human resources assigned to your project. It provides comprehensive tools for finding, assigning, and managing project contributors across three key categories:

Project Managers

This section allows you to:

  • Add multiple project managers to the project
  • Modify default skillsets for project managers
  • Adjust hourly rates for project management work
  • Define responsibilities and access levels
Team Members

In this section, you can:

  • Assign internal team members to the project
  • Remove team members when their work is complete
  • Change their assigned skillsets for the project
  • Modify hourly rates for specific project work
Freelancers

This section enables you to:

  • Search the freelancer database by skillset
  • Filter freelancers by availability and rates
  • Add external resources to your project
  • Manage freelancer work orders and contracts

Tip: The Talent tab is also where project managers can approve or deny work orders for any user type, controlling the flow of work and budget allocation throughout the project lifecycle.

The Talent tab enables you to build the optimal team for your project, balancing skills, availability, and budget considerations. By providing comprehensive talent management tools, ActionAtlas helps ensure you have the right people working on the right tasks.

4. Financials Tab

The Financials tab is your project's financial command center, providing comprehensive tools for tracking costs, managing expenses, and ensuring profitability throughout the project lifecycle.

Key Financial Functions

  • Project Cost Management

    Track all project expenses, including time, materials, and external costs

  • Profitability Analysis

    Monitor real-time project profitability with customizable calculation methods

  • Expense Management

    Add, edit, and remove project expenses with categorization and approval workflows

  • Budget Tracking

    Compare actual costs against budgeted amounts with variance analysis

Important: Financial visibility within a project is controlled by user permissions. Typically, only project managers and finance team members have access to detailed financial information.

5. Notes & Files Tab

The tab serves as the central repository for project documentation, communications, and reference materials. This tab is accessible to all project participants, including project managers, team members, and freelancers.

Project Notes

Notes provide a chronological record of important project communications and decisions:

  • Client meeting summaries
  • Creative direction decisions
  • Project status updates
  • Important clarifications or changes
Project Files

Files section allows for the secure storage and sharing of project-related documents:

  • Creative briefs and project plans
  • Reference materials and assets
  • Client-provided documents
  • Work-in-progress deliverables

Note: File types supported include PDF, Word, Excel, and PowerPoint. This ensures compatibility across different systems while maintaining document security.

The Notes & Files tab promotes transparency and effective communication by giving all team members access to essential project documentation. By centralizing these materials, ActionAtlas eliminates version control issues and ensures everyone is working from the same information.

How Project Tabs Work Together

While each tab focuses on a specific aspect of project management, ActionAtlas is designed for seamless integration across all project areas:

  • Team assignments in the Talent tab affect resource availability shown in Project Coordination
  • Work orders created in Project Coordination automatically appear in the Financials tab for budget tracking
  • Files uploaded in Notes & Files can be referenced in tasks within Project Coordination
  • Changes to project details in the Overview tab cascade through the entire project
